If a template already exists with the Acquisition data’s column headings this step is not required.
Once you have created a new import template, configured with the column headings required, it can be saved for future use.
1.Click the Data Import Options icon under the Data Tools Module
2.Select Create New Excel Load Template from the 5 Admin Menu on the Data Import form
3.Enter a name for your new template. Click OK
4.Click Yes to Create New Excel Load Template message
A blank Data Import Load template will open. You know this is a template by the fact that it does not have an Import ID.
When your Data Import Template opens you can create a layout that matches another spreadsheet that contains the data you want to import.
5.Copy and paste the Acquisition spreadsheet heading row into line 6 of the thankQ template
Copy and Paste the headings from your spreadsheet into Row 6 of the template. You can then match these headings with the thankQ fields more easily. Remember to delete the headings in row 6 when you’ve finished matching them with the thankQ fields. |
6.To select your required fields, click on cell A5 and you will notice that a drop arrow appears.
You can start typing the letters of the word in row 6. When you tab or click into the next column if thankQ has that field you can proceed to the next column heading.
If an error appears you will need to select the field from the drop down list
7.Click on the drop arrow and notice that the fields in the list are grouped in accordance with the type of data that you are wanting to import. Eg *CONTACT DETAILS*
8.Select the relevant fields to include on the template, matching these with the headings from your spreadsheet.
When creating your template there are a few important points to consider:
•If there is a column on your spreadsheet that you do not wish to import into thankQ, then leave the thankQ heading cell (in row 5) blank.
•Contacts will be assigned a contact type of Individual automatically. If some or all of your contacts are organisations, you should add the Contact Type field in your template.
•If you have setup extra mandatory fields under Lookup Values, you will need to add these columns to your Data import template.
9.Finally, remove any column headings in row 6 that were copied earlier from your spreadsheet.
10.Save and Close the template
